SchoolMoney: Setup new Bank Details & BACS References

Instructions

 
 

Adding new Bank Accounts

 
If you need to add a brand new bank account to SchoolMoney, you will need to email the following information to support@schoolmoney.co.uk:
  • Proof of the bank account such as a void cheque or bank statement, or a typed, school-headed letter containing the account details (account number, sort-code, etc.)
  • The Payment Type that the new bank details relate to (For example: Dinners, Club/Extended Services, Music, etc.)
  • Any BACS References you wish to attach to each payment type / bank details
  • If the bank details are new and need to replace older ones, you will also need to instruct us which existing details in SchoolMoney you would like the new ones to replace.
WE MUST HAVE ALL BANK ACCOUNT DETAILS / CHANGE REQUESTS IN WRITING VIA EMAIL.
  • If you are sending details for a local council account, please note that you will need to speak to the council and request unique BACS codes to give us so that they can easily identify your payments.
  • Once we have added these bank details onto the system, you can view them in Admin tab by clicking on the BACS Information / Local Authority button:

 

  • From here you will be able to see all the details that have been setup in SchoolMoney.

Assigning Existing Accounts to new payment categories

If your bank account is already added to SchoolMoney and you would like it assigning to a new payment type:

  • Click into the Admin Tab
  • Select the BACS Information / Local Authority
  • Press the Add button at the bottom corner
  • Select The Payment Type you would like to assign the account to
  • Enter a BACS Reference of your choice (if no particular code is needed, just put ‘SchoolMoney’)
  • Select the correct Account from the list
  • Press Save

You will now be able to set up those payments to be paid into that account.

Please Note:

  • If you have existing payments set up and you would like them to go to the new account, you will need to double click into those payments (from the payments tab) and adjust the account in box 1, in the top left corner.
  • Do not select the option for ‘Create a new Account’. If you need a new account please email us as explained above.

Updating BACS References

  • If you wish to add a new BACS reference, you can follow the above steps
  • If you wish to have your Existing BACS references updated, please get in touch with us on the above email address with those.
