Steps to create a CSV file with your contacts and import them into Teachers2Parents.
Instructions – Create the CSV File
If your school uses an MIS, then check the following guides for a compatible update method:
- SIMS: Teachers2Parents: Install the SIMS Link v44 / Teachers2Parents: Install the Central Link v12
- Other MIS: Teachers2Parents: Update with Wonde
If not, continue to the instructions below:
- Go to Admin > Import.
- Under Sample CSV Files, go to Student contact list and click Download File.
- This should automatically open Microsoft Excel with the sample_student_contact_list file.
- Fill in this spreadsheet with the contacts you want to add to Teachers2Parents:
- Year: Enter the student’s year group, class, room etc. Or if your contacts are to be imported as one group, use the same general label for all of them such as Contacts.
- Adno: Enter the Admission Number, ID, or UPN from your MIS if available. If not, use sequential numbers for each child (1001, 1002, 1003…)
- Pupil Forename: Enter the student’s first name.
- Note: If the student has a double-barrelled first name then these should be adjoined e.g., use a hyphen (-) or do not include a space. This will ensure that the student is listed alphabetically in Teachers2Parents.
- Pupil Surname: Enter the student’s last name.
- Mobile Number: Enter the contact’s mobile number. Only include numbers and spaces in the field, and it can be left blank if this contact does not have a number.
- Priority: Enter the number corresponding to their priority order for each contact. If you are entering more than one contact per child, you need to copy the child’s details into another row with the new mobile number and the next priority number in this field.
- Email Address: Enter the contact’s email address. This can be a maximum of 50 characters and can only use letters, numbers, and the following characters: hyphens, underscores, at sign, and periods.
- Form: Enter the student’s form, registration group, class etc. This can be a maximum of 30 characters and is not mandatory.
- Save the file as CSV (Comma delimited) (*csv).
Instructions – Import the CSV File
- In Teachers2Parents, go to Admin > Import.
- Confirm that the Type of Import is Student contact list.
- Click Browse or Choose File > select the file > Open.
- Click Import. It will say Importing… Please wait… then open a window stating that the import completed successfully.
- Note: If you encounter an error, read the relevant guide below:
- If there are any students from a previous import that are not in the new import file, it will ask if you want to delete those students. Click OK and delete all the students you no longer need to update your account.
- Refresh the page to return to Home and your new or updated contacts will now be in Teachers2Parents.
